Office Administrator (Sault Ste. Marie)

LOCATION:  Sault Ste. Marie,
EMPLOYMENT TYPE:  Full Time

Pioneer Construction is looking for a hard-working, self-motivated employee who is detail oriented and reliable to fill the position of Office Administrator at our Main office building in Sault Ste. Marie, Ontario. This is a Full-time position and comes with competitive wages and a benefits package.

 

JOB DUTIES:

  • Front desk duties serving as first point of contact for customers via phone, email, and in-person.
  • Administrative functions such as opening and sorting mail, maintaining files, ordering supplies, errands.
  • Data entry of approved purchase orders.
  • Receive and review accounts payable invoices, cheque requests.
  • Match purchase invoices with orders for payment processing.
  • Verify job coding, and accounting distribution, ensure proper authorizations.
  • Code, verify, and enter accounts payable data into accounting system in a timely manner.
  • Follow up on account statements and other discrepancies regarding payment accounts
  • Compile data, statistics, and other information
  • Comply with all internal financial policies, procedures, and controls as well as regulatory requirements.
  • Team player and display professionalism toward our companies and customers.
  • Work in accordance with all internal, client and regulated health and safety policies, procedures and/or regulations, including wearing appropriate Personal Protective Equipment (PPE).
  • Performs other administrative support and general office duties as assigned.

 

JOB QUALIFICATIONS:

Education:

  • Post secondary diploma or equivalent is considered an asset.
  • Prior experience in accounts payable and/or office administration is considered an asset.
  • Valid G class driver’s license and mode of transportation are required.

 

Knowledge, Skills and Abilities:

  • Proficiency with various computer programs, including Microsoft Office & accounting software.
  • Excellent verbal and written communication skills.
  • Accuracy and attention to detail.
  • Excellent Problem solving and time management skills.
  • Strong organizational skills and an ability to work alone or with others within the company.
  • Ability to work under pressure and meet deadlines while maintaining a positive attitude.
  • Understanding of privacy and confidentiality measures.
  • Occasional lifting and carrying files, documents or small office items weighing up to 10 pounds.
